We are seeking a dedicated and organized Personal Secretary to support our Director in managing administrative tasks and ensuring the smooth operation of their office. The ideal candidate should be proactive, detail-oriented, and capable of handling confidential information with discretion.
Responsibilities:
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Manage the executive's calendar, appointments.
- Organize and coordinate meetings, conferences, and other events.
- Handle and prioritize incoming correspondence, including emails and phone calls.
- Draft and proofread documents, reports, and presentations as needed.
- Maintain records, files, and databases in an organized manner.
- Assist in preparing agendas and taking minutes during meetings.
- Handle sensitive information with confidentiality and professionalism.
- Perform general administrative tasks to support the executive's workflow.
Qualifications:
- Proven experience as a Personal Secretary, Executive Assistant, or similar role.
- Excellent organizational and time-management skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and office equipment.
- Strong communication skills (verbal and written).
- Ability to multitask and prioritize tasks effectively.
- Discretion and confidentiality in handling sensitive information.
- Bachelor's degree or relevant certification is a plus.
